Compliance

Compliance that watches itself

An audit should be a print job, not a panic. CareHub tracks every screening, certificate, consent and change as you work, so the evidence is already there, already organised, the day someone asks for it.

The compliance dashboard

One screen tells you exactly where the gaps are

Most providers find out about a lapsed certificate at the worst possible moment. CareHub's dashboard shows your whole organisation's compliance position at a glance, and tells you weeks ahead which documents are about to expire.

  • Expiry alerts before anything lapses: first aid, screenings and certs flagged weeks out, not the morning after
  • Screening tracked as a first-class record: NDIS Worker Screening and WWCC with dates, status and renewals in one place
  • Compliance heatmaps per staff member and per client, so red cells jump out before an auditor finds them
  • Nothing relies on memory: the dashboard recalculates as documents are uploaded, verified or age out

The audit log

Every change, captured. Who, what and when, automatically.

You can't reconstruct six months of history the week before an audit. CareHub never has to: every edit to a care plan, every consent uploaded, every shift approved is written to the audit log the moment it happens, attributed to a person and a timestamp.

  • Every change captured: care plans, notes, documents, rosters, finances, settings
  • Who, what, when on every entry: no anonymous edits, no gaps to explain
  • Consent records with their own audit trail: uploads, downloads and changes all logged
  • Complaints tracked end to end: raised, handled and resolved, with the history to prove it

Social media lockout: on shift means on shift

When a worker logs in for a shift, CareHub blocks social media on the device by policy. It's a simple idea with a serious purpose: full attention on the participant, and no chance of a photo from inside someone's home ending up online.

Honest about how it works

This isn't surveillance, and it isn't a gimmick. From clock-in to clock-out, social apps are locked while the worker is on shift. The moment they clock off, everything unlocks and their phone is theirs again. Workers know exactly what's blocked and why, because it's written into the policy they sign during onboarding.

  • Focus on the participant: the two hours you're funded for are the two hours delivered
  • Client privacy protected: no posting from a participant's home or community outing, full stop
  • Risk reduced for the organisation: one careless story can become a reportable privacy breach; this closes the door
  • Automatic and even-handed: the same rule for every worker on every shift, no awkward conversations

Why providers love it: it turns a hard-to-enforce HR policy into something the system simply takes care of, and it shows families and auditors that attention on shift is a standard, not an aspiration.

Audit day

Ready for your next audit

When the auditor asks, the answer is already in the system. Four trails CareHub keeps for you, every day, without being asked.

Worker screening & certs

NDIS Worker Screening, WWCC, first aid and every certificate: dates, status and renewals tracked per worker, with alerts before anything lapses.

Incident & complaints trail

Structured incident reports and ABC behaviour charts from the field, complaints tracked through to resolution, each with a complete, timestamped history.

Consent & documents

Consent recorded against each participant with upload, download and change history. Documents carry expiry dates, so nothing quietly goes stale.

Full export for auditors

Reports, records and the audit log export cleanly to PDF and Excel. Hand the auditor an organised pack instead of a week of digging.

A straight answer

What we promise, and what we don't

CareHub is designed to support your obligations under the NDIS Practice Standards: keeping records complete, screenings current and evidence organised. It does not certify your organisation, and no software can guarantee an audit outcome. That depends on the care you deliver. What CareHub guarantees is that when the question comes, the answer is one search away, not one panic away.

Walk into your next audit calm

Book a 30-minute demo and we'll show you the compliance dashboard, the audit log and the lockout, running on a roster like yours.
